Setting up lead routing for Citi Stone's project campaigns

Citi Stone Pvt Ltd advertises several real-estate projects on Facebook at once. This is how its lead ads and website form are wired to the sales team through BrokLeads, the CRM we build and run: a campaign for each project, leads that arrive by webhook, and a round-robin rotation per project.

The challenge

Citi Stone advertises several projects on Facebook at the same time. Before BrokLeads, leads from those forms had to be downloaded and shared with the sales team by hand, so an enquiry could wait hours before anyone called, and it was hard to see which project's ads were producing buyers.

Enquiries from the company website arrived separately, in a different inbox, with no clear owner.

The set-up

  • Campaign mapping, one project at a time

Our team set this up for Citi Stone. Its existing Facebook campaigns and lead forms were mapped to BrokLeads campaigns, one per project, without rebuilding a single ad. The mapping is what lets every lead carry the project, form and ad it came from.

  • Lead ads by webhook, not by download

Leads arrive through Meta's official lead webhooks as they're submitted, so nobody downloads a file or pastes leads into a group. The lead lands on its project's campaign straight away.

  • The website form

Enquiries from the company website go into the same lead list through BrokLeads' website-form intake, so web and Facebook leads follow the same routing rules instead of sitting in a separate inbox.

  • A rotation and an alert for each project

Each project's campaign has its own round-robin rotation of agents. A new lead goes to the next agent on that rotation the moment it arrives, the agent is alerted straight away, and managers can see who received each lead and when.

How it's connected

Two lead sources, one list, one rotation per project. Nothing was rebuilt on the advertising side: the existing campaigns and forms were mapped as they were, and the routing happens in BrokLeads.

  1. Sources

    • Facebook lead ads

Several projects; leads arrive by Meta's lead webhooks

    • Website form

      Company website enquiries

  2. BrokLeads

    • One campaign per project

Each lead tagged with its project, form and ad

  3. Sales team

    • Round-robin per project

Next agent on the rotation, alerted straight away, assignment visible to managers

Where it stands

  • No waiting for a download

Each enquiry is assigned the moment it arrives, day or night.

  • Project-by-project visibility

Management can see how many leads each campaign produced and where every one of them stands.

We stopped losing leads overnight. BrokLeads routes every inquiry to an agent before the client puts their phone down.
